Villa Owners FAQ

I’m interested – what do I do next?

My villa is just being built now – when should I contact you for help?
We recommend that new villa owners contact us at least 3 to 6 months before a villa is completed and ready and furnished, as then we can advise you on the furnishings that will help you to rent out your villa; start the staff recruitment process, and train them at our other villas, and most importantly start the marketing, as it always takes a while for a new villa to build up guests and a reputation.

We still want to regularly use our villa – is this OK?
Yes this is fine.  While there are some restrictions on excessive use (it is not worth us undertaking all this work, if we can only then rent out the villa for a few months a year), many of our existing owners, including ourselves, still stay at their villas regularly.

What happens if friends want to stay at our villa?
There is no problem with friends staying at your villa.  They can either stay for free as “an Owner Booking” in which case we treat them just like yourselves, or we can handle them like a normal guest booking with an agreed discount, in which case our fee is half the normal fee.  Most owners though prefer for us to handle friends bookings, as we can be more objective when it comes to asking for and handling payments, and can deal with all the logistics as well.

How long do we have to commit to take advantage of your services?
We require a minimum 3 year contractual commitment.  Most of the expenditures in terms of time and money are early in the first year, when also guest bookings tend to be less, and so we do require a commitment of at least this duration for us to take on your villa, although there are termination rights for certain unforeseen events, or where our service fails to meet certain agreed criteria.

I already have some listings / my own facebook page / website what happens to those?
We offer a comprehensive marketing service, so we are happy to take on any existing listings, pages, websites or advertising commitments that you already have, review their effectiveness, and then ensure that they are regularly updated, maintained and renewed if appropriate. In all such cases we will pay our share of any third party marketing costs and also as we get discounts due to the number of villas that we list, we can often renew listings and provide website hosting at a lower cost than you can do yourself.

Can I list with other websites and look after them myself and list with you as well?
Our service is effective because we are able to regularly update and change information.  This ensures that information is correct, that rates and calendars are regularly reviewed and always up to date, and it also helps us to be flexible in deciding pricing strategy and in setting special offers. We think that it is important that KFV and the villa owner are aligned and if there are other listings then such professionalism and consistency is not possible - and worse than that we effectively become competitors rather than partners.  We do therefore ask that we and you as the owner work together and are together responsible for all and any marketing - not least as we bear a share of the costs for any marketing that is undertaken. 

I just want help managing my villa locally, but I want to carry out the marketing myself - can you help?
I am sorry but for us to assist in managing and/or staffing your villa we do require that you commit to our Villa Marketing Service first.

I struggle to get maintenance done, and the staff don't know how to deal with emergencies - can you help?
We do now offer a Maintenance Service as part of our Villa Management Service. This works similar to our other services in that there is a fixed fee to be paid each month, and our maintenance team will respond within 4 hours to any emergency, and work to get it fixed as soon as practicable, and also schedule regular maintenance to ensure that the villa is always looking good, and that air-conditioners and other devices are regularly checked and serviced.
